Job Description:

Generally, the Dispatch Coordinators ensures smooth and accurate execution of all freight bookings processed through the company’s digital freight-booking application. The role involves monitoring job entries, confirming driver engagement and compliance, coordinating with clients and drivers, and ensuring that all milestones—such as acceptance, pickup, loading, transit, and delivery—are updated correctly and on time.

The coordinator acts as the primary point of contact for any operational issues impacting customer satisfaction and on-time delivery performance.

More specifically,

  • Monitor all new freight jobs entered into the booking application in real time.
  • Verify that all job details (pickup location, delivery location, cargo description, timings, client requirements, etc.) are complete and correctly registered.
  • Flag and correct incomplete or inaccurate job entries by coordinating with internal teams or clients.
  • Ensure any special instructions (temperature control, oversized cargo, documentation needs, etc.) are accurately reflected in the system.
  • Track driver acceptance of assigned jobs and follow up immediately if acceptance is delayed or declined.
  • Reassign drivers promptly when cancellations, rejections, or emergencies occur.
  • Ensure the driver receives all necessary job details, documents, and client instructions through the app or direct communication.

  • Log any irregularities, delays, or deviations from planned schedules.
  • Ensure that both clients and internal teams receive real-time milestone notifications.
  • Act as primary contact for clients regarding job status, changes, or issues.
  • Provide timely updates on driver ETA, loading completion, delays, or route changes.
  • Respond to client queries received via phone, email, or in-app chat.
  • Escalate unresolved or critical client concerns to the manager or POCs in senior staff.

  • Maintain accurate overnight shift records for handover to day-shift staff.

Job Requirements;

1. The ideal candidate for this position comes with the Extraordinary Communications Skills required for handling calls with Clients and Driver Based in UK

2. The candidate should come with the basic industrial knowledge on how to handle the coordination for driver dispatch jobs

3. The candidate ideally should be having prior exposure of handling dispatch work or courier handling;

5. Strong communication skills with command over English is highly desired with proficiency in outlook-based email coordination;
